Final tips for the participats of the Conferment Ceremony

 

Dear promovendus. The Conferment Committee wants to thank you for your registration and also remind about a few current points. This message is delivered only to the promovendi, so please make sure that your companion gets the essential information.

 

Programme

Once more we recommend you to read through the programme and dress code at the webpage, as well as get to know the hints of the Information booklet and the Briefing sesison.

 

Pre Wreath-weaving on 24th of May

  1. The wreaths of the promovendi attending with a companion, will normally be fabricated by their companion a.k.a. wreat-weaver at the Wreath-weaving session on 25th of May.
  2. The promovendi attending alone MAY register themselves to the Pre Wreath-weaving on 24th of May to fabricate their own wreaths. The committee recommends this as it easens our workload and the wreath will look exactly as you like. You may also participate in the Pre Wreath-weaving if both of a pair are promovedi and thus cannot make it to the Wreath-weaving session.   3. If you participate in the Ceremony alone and can’t or don’t want to come to the Pre Wreath-weaving on Wednesday, the General Wreath-weaver and the Conferment Committee will make sure that everyone gets a wreath.
  4. If your situation is different from any of the above, the Committee will find a solution. No one will be left without a wreath!

 

Act Rehearsal and Dinners on 25th of May

Due to the funeral of the former President of Finland Mauno Koivisto, the Senate Square and part of Unioninkatu will be closed on Thursday. Thus, the entrance to the Act Rehearsal at the Main Building of the University will be from the Aleksanterinkatu side. Note that the funeral procession closes large part of the city center and you should reserve plenty of time for arrival.

 

Doctor promovendus, please remember to bring your hat and sword accompanied with a name tag to the Act rehearsal, after which they will be stored at the Main Building. It is adviced to leave the container box home, since after the act the hat will be worn and it would be difficult to carry the box.

 

Most of the promovendi arrive at the Rehearsal in tailcoats and evening dresses, as there is no time for change before the Dinners. Those attending only in the Act can follow smart casual dress code.

Act and the Conferment Dinner on 26th of May

Please note that after the Act, the promovendi need to choose between participating in the Ecumenical Church Service and the Secular Service. It might be wise to decide beforehand which one to choose. The procession follows uniformly to the main door of the Helsinki Cathedral, after which those attending the Secular Service will organize themselves to the left side of the doors with help of the marshals.

 

There has been a slight change in the arrival schedule for the Conferment Dinner:
The master promovendi are asked to arrive at 17.45, doctor promovendi at 18.00 and the jubilee masters and doctors at 18.15. The entrances to the Finlandia Hall are M4 at Mannerheimi side and K4 at Töölönlahti side. Cafe Veranda is open for those who arrive earlier. Please note that there are no breaks at the Dinner.

 

The day of Conferment excursion and Ball, 27th of May

Remember to have a student cap and clothing according to weather at the Excursion. The ships of the will be filled, so we cannot guarantee that everyone gets to sit inside during the cruise.

 

Also take into account the weather with the clothing for the Nocturnal Procession. Comfortable shoes might also be a good choise after the Ball. You can also accompany yourself with some sparkling wine if you want.

Pre-ordered Conferment Art

The Conferment Art ordered by Mon 22th of May will be delivered to the promovendi after the Act, combined with delivering the Conferment Diplomas.

The Memorial Book of the Conferment out in October

Each time, the most memorable moments of a Conferment are collected into a Memorial Book. This year’s book will be published in a separate event in October.

On the Conferment week, the Conferment Office is only open on Monday from 13 to 18 o’clock. Please understand that the Conferment Committee consists of promovendi, whcih is why we cannot guarante to answer mails sent later than on Tuesday. Delivering your diploma

To finally confirm your registration, every promovendi is required to deliver a copy of their diploma (tutkintotodistus) to the Conferment Office. Please provide the diploma immediately by uploading it at http://fil-promootio2017.helsinki.fi/ilmo/upload.php or by delivering a physical copy to the Conferment Office . One cannot be promoted if they do not provide the diploma!

 

Flower’s Day Sat 13th of May

The celebration on the Flower’s Day kickstarts the Conferment festivities. The master promovendi gather at the Finnish Meteorological Institute at Kumpula Campus to elect the General Wreath-weaver at 10.30 o’clock, after which they continue to propose the selected person. For all the participants, the program starts with introducing the General Wreath-weaver and cheering with sparkling wine at the Kumpula Botanical Garden at 1115. Before the proposal, the participants can take a tour in the Garden for a price of 2 € (please bring the exact amount). Following the traditions, we continue as a procession from the Garden to Kumtähti Field to sing the national anthem of Finland, after which the ones regisgtered for the Lunch move to Sokos Hotel Presidentti.

 

Electing the General Wreath-weaver

Master promovendus, do you want to take part in electing the General Wreath-weaver in the moring of the Flower’s Day? Due to limited space, we ask registrations by 10th of May at: http://fil-promootio2017.helsinki.fi/florakokous

 

Pre Wreath-weaving for the promovendi without a companion

Normally, the companions of the master promovendi will produce them the wreaths during the Wreath-weaving session on Thu 25th of May. In the case the master promovendus does not have a compaion or if they cannot particiapte in the session on Thu, we ask them to take part in the pre Wreath-weaving session on Wed 24th of May. General Dance Rehearsals on Tue 9th, Tue 15th and Mon 22nd of May

On Tuesdays of May 9th and 16th, there is an opportunity to practice the academic ballroom dances of the Ball at the Genreal Dance Rehearsals at Unisport Kumpula. Doctor promovendi need to bring their academic insignia to the Act rehearsal

Doctor promovendus, please remember to bring your hat and sword accompanied with a name tag to the Act rehearsal, after which they will be stored at the Main Building of the university.

 

Selection between the Ecumenical Church Service and the Secular Service

Please note that after the Act, the promovendi need to choose between participating in the Ecumenical Church Service and the Secular Service. It might be wise to decide beforehand which one to choose.

 

Those participated in the joint dress order can now claim their dresses at the Conferment Office.

 

Delivering the ordered Conferment Art to the promovendi

Against the earlier information, the Conferment Art will be delivered to the promovendi after the Act, combined with delivering the Conferment Diplomas. Those participating as absent can claim their artworks at the Conferment Office after the Ceremony.

While waiting for the Conferment, it is good to get to know the dress code and how to obtain the  academic insignia. Purchasing these items should take place as early as possible. Please also note the discount offers for the academic insignia and dresses on separate pages.

Dear participant of the Conferment Committee of the Faculty of Philosophy,

The Conferment Committee wants to thank You for your registration and also remind about a few current points.

-To finally confirm your registration, you need to deliver a copy of your diploma (tutkintotodistus) to the Conferment Office.
It is possible to upload the file on a web form http://fil-promootio2017.helsinki.fi/ilmo/upload.php. It’s also still possible to deliver a physical copy of the diploma to the conferment office.

-On the 18th of April (note the date change) at 6.00 pm, a briefing for the paricipants (and their companions) will be held at the Main Building
of the University. Unfortunately, the briefing will only be held in Finnish. However, the material will be uploaded also in English and Swedish and questions may be asked in all three languages after the presentation.
An information booklet has just been sent via traditional mail. The booklet can also be found online at http://fil-promootio2017.helsinki.fi/infovihko_EN.pdf.

-You can come and study your information in the preview version of the matricula at the Conferment Office during its office hours until the 28th of April.

-The companions mentioned during the registration are expected to follow to the Conferment Act but, we cannot guarantee seats for the relatives. Thus, the remaining seats will be randomly given to the relatives registered by 23th of April via the following link http://fil-promootio2017.helsinki.fi/omaiset

-Master promovendus: Do you want to participate in the election of the Official Wreath-weaver in the morning of the Flower’s day?

-Forgot the order Conferment Art? Or would you still like to participate in the Lunch of the Flower’s Day?
It is still possible to do both!

You can purchase Conferment Art designed by cartoonist Mika Lietzén. The orders can be placed at http://fil-promootio2017.helsinki.fi/ilmo/taide/ and they are open also for other people than those participating in the Conferment.
The ready-made artworks will be delivered to the promovendi after the Act. Other people can claim the artworks from the Office in the following weeks after the Ceremony.

Also the Lunch of the Flower’s Day is still open for registrations. You may register yourself, your companion or both at
http://fil-promootio2017.helsinki.fi/ilmo/flora/. The registration is open for everyone, even those not participating in the Conferment. Here is a great opportunity to get a glimpse of the conferment spirit for those friends and relatives who otherwise would not be able to participate in the ceremonies.

-Everyone participated as a pair in the masters contredanse française will be able to take part in the dance.
Those registered without a pair can still come to the first rehearsal to look for one. However, we obviously cannot guarantee a pair for everyone.
